You set every price - the AI never invents one
This is the part studios usually ask about first, and it's worth being precise: the AI does not make up pricing. You configure a full pricing catalog in your admin dashboard - coverage rates for traditional photography, candid photography, drone, cinematic video, and more, each with separate full-day and half-day prices, plus deliverables like edited photo sets, albums, teasers, and reels. The AI only ever assembles a quote from line items that already exist in your catalog, multiplied by whatever coverage and deliverables the conversation established. You can also set a price buffer percentage that pads every AI-generated quote automatically, which is useful for building in a small margin for negotiation.
Server-side guardrails, not just prompt instructions
Because this touches real client-facing pricing, the drafting flow doesn't rely purely on the AI behaving correctly - every draft is re-validated in plain code before it's ever shown to a prospective client. Coverage days are clamped so a miscounted item can never be tagged onto a day that doesn't exist in the event. Event dates are checked against today's date so a quote can't get generated for a date that's already passed. If anything doesn't check out, the conversation continues instead of a bad quote reaching the client.
What the studio sees
Every inquiry appears in your dashboard with its status - new, quoted, or converted - along with the full conversation context. From there you can review the AI's draft, adjust line items, apply a discount with a note, set a validity date and payment terms, and send it. Sending generates a shareable link the client can open without logging in, and they can accept or reject it directly - both actions update the inquiry status automatically so nothing falls through a spreadsheet.
Setting up your pricing catalog
Head to Admin → Quotation to add your coverage rates, deliverables, and any bundled packages. This is a Premium feature, and it's worth setting up properly before turning it on - the quality of every AI-generated quote is only as good as the catalog it's built from.
